Request for Proposal (RFP)

A business travel or travel management RFP is typically issued by organisations when they are inviting businesses to tender for their travel management services contract. The RFP is the chance for the client to outline their objectives and aspirations for the contract and the opportunity for the supplier to propose how they will fulfil the contract including evidence of their capability.

Key Components of a Request for Proposal (RFP)

  • Background information that includes office locations, travel frequency, and budget constraints.
  • A summary of the current travel programme, highlighting what works well and identifying areas of improvement.
  • Detailed descriptions of required services, such as booking processes, compliance with travel policies, and reporting needs.
  • Specifications regarding any necessary technology integrations that the travel management company should be compatible with.
  • Expectations regarding response times and support availability from the travel management company.
  • A request for a detailed breakdown of fees and payment terms to facilitate straightforward comparisons among bidders.
  • Important dates related to the RFP process, making sure to include submission deadlines and evaluation timelines.
